Job Title: Front Office Executive / Front Desk Associate
Reports To: [Manager/Supervisor/Team Lead]
Location: Gurugram
Job Summary
The Front Office Executive plays a critical role in ensuring exceptional customer service and acting as the first point of contact for clients, visitors, and customers. This role involves managing day-to-day operations of the front office, including greeting visitors, managing appointments, handling inquiries, and providing administrative support to ensure smooth business operations.
Key Responsibilities
-Customer Service and Client Interaction
- Greet clients, visitors, and guests in a professional and friendly manner.
- Answer phone calls, respond to emails, and address customer inquiries or requests promptly.
- Provide information about products/services, company policies, and procedures.
- Handle any customer complaints or issues, ensuring they are resolved or escalated as appropriate.
-Front Desk Operations
- Manage the reception area, ensuring it is clean, organized, and welcoming.
- Monitor and direct visitors, ensuring they sign in and follow security protocols.
- Schedule and confirm appointments, meetings, or events.
- Handle incoming and outgoing mail, packages, and deliveries.
-Administrative Support
- Assist with general office duties such as filing, photocopying, and maintaining office supplies.
- Manage office calendars, coordinate meeting schedules, and book conference rooms.
- Process office invoices, prepare reports, and maintain databases or records.
- Coordinate travel arrangements for senior staff (if applicable).
Qualifications & Skills
- Education: High school diploma or equivalent required; bachelor's degree in business, Hospitality, or related field preferred.
- Experience:
- 1-3 years of experience in a front office, customer service, or administrative role.
- Experience in a relevant industry (banking, finance, hospitality, etc.) is a plus.
- Skills:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Professional appearance and demeanor.
- Ability to handle challenging situations with tact and diplomacy.
- Familiarity with office equipment (phones, printers, fax machines).
- Language: Fluency in [language(s) as required for the role].
