The Executive Assistant will provide high-level administrative support to the CMD.

Key Responsibilities:

  • Administrative Support:
Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.

Prepare and edit correspondence, communications, presentations, and other documents.

Conduct research, compile data, and prepare papers for consideration and presentation by executives.

  • Meeting Coordination:
Organize and coordinate executive meetings and events, including preparing agendas, materials, and taking minutes.

Ensure follow-up on action items from meetings and manage deadlines.

  • Communication Management:
Screen and prioritize phone calls, emails, and other communications.

Handle sensitive information with a high level of confidentiality and discretion.

  • Project Management:
Assist in the planning and execution of special projects as assigned.

Track project timelines and deliverables, ensuring projects are completed on time.

  • Travel Arrangements:
Plan and coordinate complex travel itineraries, including flights, accommodation, and ground transportation.

Prepare detailed travel plans, itineraries, and expense reports.

  • Office Management:
Oversee the management of office supplies and equipment.

Coordinate with IT and facilities for any office-related needs.

  • Relationship Management:
Liaise with internal staff at all levels and external stakeholders.

Foster and maintain positive relationships with clients, partners, and team members.

Qualifications:

Education:
Master's degree in Business Administration, Communications, or a related field preferred.

Experience:
Minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.

Skills:
Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Ability to work independently and as part of a team.

High level of discretion and professionalism.

Strong attention to detail and problem-solving skills.

Ability to handle multiple tasks and prioritize effectively.

Additional Requirements:
Availability to work flexible hours as needed.

Willingness to travel occasionally.
